Scope

This policy describes how telmone.shop operates today. This Privacy Policy applies to personal data processed by telmone.shop in connection with the online store (orders, payments, delivery, customer support, marketing subscriptions, and website analytics).

We process data under the legal bases listed in the summary list below. Where we rely on legitimate interests, those interests include fraud prevention, securing accounts, improving the Website, and measuring marketing effectiveness (where permitted). You may object to processing for direct marketing at any time.

3) Payments (payment status only; no full card storage by us)

  • Recipients: payment service providers/acquirers; (where used) anti-fraud services.

  • Retention: aligned with order records (5 years) + fraud/security logs 12–24 months.

  • Choices: full card details are handled by payment providers under their terms.

4) Delivery / shipping

  • Data: shipping address, phone (if provided), order contents needed for fulfillment, tracking events.

  • Legal basis: Contract (Art. 6(1)(b)).

  • Recipients: carriers; fulfillment/warehouse partners (if used).

  • Retention: tracking/support records typically 12 months; invoices 5 years.

  • Choices: required for delivery.

5) Customer support, warranties, disputes

  • Data: contact details, order ID, messages, attachments you provide, ticket metadata.

  • Legal basis: Contract (Art. 6(1)(b)) or Legitimate interests (Art. 6(1)(f)).

  • Recipients: customer support tools; email provider; (if you request) warranty/support partners.

  • Retention: support tickets 12 months (longer if needed for disputes/legal holds).

  • Choices: do not send special category/sensitive data.

6) Fraud prevention / account & payment security

  • Data: IP/device/browser info, account activity, order patterns, risk signals, payment/shipping indicators.

  • Legal basis: Legitimate interests (Art. 6(1)(f)); Legal obligation where applicable (Art. 6(1)(c)).

  • Recipients: fraud-prevention providers; security monitoring tools; payment providers.

  • Retention: 12–24 months (longer if investigation/legal hold).

  • Choices: you may request human review if an order is blocked.

7) Website analytics (non-essential cookies/pixels)

  • Data: pages/products viewed, searches, cart actions, cookie IDs, IP-derived approximate location, device/browser data.

  • Legal basis: Consent (Art. 6(1)(a)) where required (EEA/UK); otherwise Legitimate interests only where permitted (Art. 6(1)(f)).

  • Recipients: analytics providers; consent/tag management tools.

  • Retention: analytics events 12 months.

  • Choices: manage via cookie banner/settings; in the EEA/UK, non-essential analytics runs only after consent.

8) Marketing (email/SMS)

  • Data: email/phone, marketing preferences, campaign interactions; interest signals where permitted.

  • Legal basis: Consent (Art. 6(1)(a)) or “soft opt-in” where allowed; measurement under Legitimate interests where permitted (Art. 6(1)(f)).

  • Recipients: email/SMS delivery providers; CRM/marketing tools.

  • Retention: consent logs as long as needed to prove consent; suppression list retained to honor opt-outs.

  • Choices: unsubscribe anytime; absolute right to object to direct marketing.

9) Advertising & measurement (marketing cookies/pixels; where consent is given)

  • Data: cookie/pixel IDs; limited technical data (language, country/city approximation, device/browser).

  • Legal basis: Consent (Art. 6(1)(a)) where required (EEA/UK).

  • Recipients: advertising/measurement partners (only when consent is given where required).

  • Retention: per cookie settings panel (durations vary).

  • Choices: control via cookie settings; refusing non-essential cookies must be as easy as accepting.

10) Legal compliance (tax/accounting, regulatory, audits)

  • Data: invoices, payment confirmations, transaction records, required identifiers.

  • Legal basis: Legal obligation (Art. 6(1)(c)).

  • Recipients: authorities; auditors/accountants (as applicable).

  • Retention: at least 5 years (or longer where required).

  • Choices: some data cannot be deleted immediately due to legal obligations.

11) Product reviews (if enabled)

  • Data: review text, rating, display name (if you choose to show it).

  • Legal basis: Legitimate interests (Art. 6(1)(f)) or Consent (Art. 6(1)(a)) depending on implementation.

  • Recipients: website/platform; moderation/support tools.

  • Retention: while published + reasonable period after removal request.

  • Choices: reviews may be public; request removal via support.

Authorized partner: Telmone.shop is an authorized retail partner confirmed by telmone.nl. Telmone.shop is operated by STAR-SERVIS PLYUS, LTD and is not the manufacturer of the products unless explicitly stated. See partner confirmation on telmone.nl. Telmone.shop does not share your order data with telmone.nl unless it is necessary for warranty/support requests you initiate, or where you explicitly consent.

  • Website = telmone.shop

  • Services = online store functionality (account, checkout, delivery, support)

  • Products = items sold on the Website

The Information We Collect

We collect the minimum information required to achieve the purposes set out in this Policy:

1) Registration and Account Information:
When you create an account or place an order, we collect your name, email, phone number (if provided), billing/shipping address, and order details. We do not require birth date/age. Personal information will be visible only to you and to our customer support staff as needed to provide services (orders, delivery, support). We do not display your personal data publicly on telmone.shop.

2) Social Media Information:
If you sign in using a third-party provider (e.g., Google or Facebook), we receive only the data you authorize via the provider’s consent screen—typically your name, email address, and the provider user ID. You can disconnect social login at any time by contacting shop@telmone.com.

3) Personal sensitive data:
We do not intentionally collect special categories of personal data (e.g., health, biometrics, political opinions). Please do not send such information to us in support messages.

4) Your usage:
We collect information about how you use our Website, such as the pages/products viewed, searches, cart actions, checkout steps, and order status interactions. This includes information such as access dates and times or pages viewed and other system activity, type of browser, and third-party sites or Website you were using before interacting with our services. In some cases, we collect this information through cookies, pixel tags, and/or similar technologies that create and/or maintain unique identifiers.

5) Information about transactions made on our Website:
If you use our Website for purchases or other financial transactions (such as when you purchase products in our online store), we collect information about the purchase or transaction. Payments are processed by our payment service providers. We receive transaction status and limited payment metadata (e.g., payment method type, partial identifiers, transaction ID). We do not store full card details.

6) Information from service providers and partners: We receive operational updates from payment providers (payment status, transaction ID), delivery partners (tracking events), fraud-prevention providers (risk signals), and customer support tools (ticket metadata).

7) Location Information:
We infer approximate location from IP address for fraud prevention and analytics. We use shipping address for delivery. We do not collect GPS location via the website.

8) Device Information: We collect standard web technical data such as IP address, device type, browser type/version, operating system, language, timestamps, and cookie identifiers (where permitted).

9) Information from other sources:
These may include:
• User feedback, such as ratings or product reviews (if enabled).
• Users or others providing information in connection with claims or disputes.
• Telmone.shop business partners through which you create or access your telmone.shop account, such as payment providers, social media services or websites.
• Publicly available sources (e.g., company registries for business customers, or publicly posted scam/fraud reports where relevant).
• Marketing service providers (only for consent/opt-out management and campaign delivery metrics, where permitted).
Telmone.shop may combine the information collected from these sources with other information in its possession.

10) Data storage and international transfers:
We use hosting and service providers to run the Website and process orders. Your data may be stored/processed in the EU/EEA, Ukraine and other countries where our providers operate. Where required, we use appropriate safeguards for cross-border transfers (e.g., contractual protections).
Hosting and storage. We use cloud hosting and service providers. Personal data is primarily stored in data centers located in the Netherlands and Ukraine. Access may occur from other countries for support and operations. A list of key provider categories (and, where appropriate, named providers) is available on request at shop@telmone.com

Where personal data is transferred from the EEA/UK to countries without an EU/UK adequacy decision (including Ukraine), we rely on Standard Contractual Clauses (and supplementary measures where appropriate). You can request a copy by emailing to shop@telmone.com. Where we rely on Standard Contractual Clauses, we apply appropriate safeguards and, where required, supplementary measures.

11) Marketing preferences (unsubscribe):

We apply opt-outs as soon as reasonably possible, typically within 48 hours. We keep a suppression record to ensure you are not marketed to again.

You have an absolute right to object to direct marketing at any time. If you object, we will stop using your data for marketing (including related profiling)
12) Deletion / erasure requests

You can request deletion by emailing shop@telmone.com with subject “Deletion request – telmone.shop”. We will act within the time limits required by applicable law. We may retain certain data where required for legal compliance (e.g., tax/accounting) or fraud prevention.

Information Collection and Use

We collect personal data when you (a) create an account, (b) place an order, (c) contact customer support, (d) subscribe to marketing, and (e) browse the Website (cookies/analytics subject to your choices).

We use service providers to operate telmone.shop and fulfill orders (for example: payment processing, shipping/fulfillment, website hosting/CDN, email/SMS delivery, analytics, and customer support). These providers process data only on our instructions and to provide their services.

Account security

If you create an account on telmone.shop, we use your login details and related security signals (e.g., IP address, device/browser information) to authenticate you, protect your account, and prevent fraud.

Uses and Retention

We use your information for the following purposes:

1) Make our service available: We use your Registration and Account information to
(a) register you for the telmone.shop and create your User Account;
(b) maintain your account settings and order history (if you create an account);
(c) process your payments;
(d) provide customer service, give you information about your account, and respond to your requests;
(e) personalize your experience by tailoring product recommendations and measure marketing effectiveness (where permitted), based on your browsing and purchase activity of telmone.shop services and other 3rd party services that we believe may be of most interest to you; We may use basic profiling to personalize product recommendations and measure marketing effectiveness (where permitted). This does not produce legal or similarly significant effects. You may object to processing for direct marketing at any time. We use automated fraud-risk scoring to protect customers and prevent payment fraud. We do not make final purchase decisions solely by automated means. If a transaction is flagged, it may be temporarily delayed or cancelled pending review. You can request human intervention, express your point of view, and contest the decision by contacting shop@telmone.com with the subject ‘Fraud review request’ and your order number;

2) We send transactional messages needed to complete your order (order confirmations, payment status, delivery updates). If you opt in, we may send marketing emails/SMS about products and offers. You can unsubscribe at any time using the link in emails or by contacting shop@telmone.com. Withdrawal of consent does not affect processing already carried out before withdrawal.

3) Process Your Payments: We may use your Information like your name, contact information and phone number to process your payments for our Website through a secured third-party service provider.

4) Prevent Fraud & Spam; enforcement of law. We may use your information to prevent, detect, and investigate fraud, security breaches, potentially prohibited or illegal activities, protect our trademarks and enforce our Terms of Use. This may include technical signals (e.g., IP address, device/browser information), account activity, order patterns, and payment/shipping risk indicators to prevent fraud, account abuse, and security incidents. Fraud scoring uses signals such as IP region, device/browser consistency, unusual order patterns, and payment/shipping mismatch indicators.

Data Retention: Unless otherwise specified, we retain information as long as it is necessary and relevant for us to achieve the purposes referred to above or to enable us to comply with our legal data protection retention obligations;

  • Orders/invoices: 5 years or longer where required by tax/accounting laws applicable to the transaction

  • Support tickets: 12 months

  • Analytics events: 12 months

  • Marketing consent logs: as long as needed to demonstrate consent + suppression list.

  • Security/fraud logs: typically 12–24 months (unless required longer for investigations or legal obligations).

Upon deactivation of your account, we will minimize the personal data we keep about you only to such data which we are required to keep to comply with laws, or other legal reasons. We may keep activity data on a non-identifiable basis to improve our Website. 

Disclosure

1) Service Providers (Processors): We share personal data with service providers acting as processors to operate telmone.shop and fulfill orders (e.g., payment processing, fraud prevention, shipping, hosting/CDN, email/SMS delivery, analytics, and customer support). They may process data only on our documented instructions. They are required to secure the data they receive.

2) Advertising & measurement (with consent where required): If you consent to marketing/analytics cookies, we may allow selected partners to set or read cookies/pixels to measure campaigns and show ads. We may share cookie/pixel identifiers and limited technical data (e.g., language, country/city approximation, device/browser data). You can manage consent at any time via our cookie settings.

3) Legal and Law Enforcement: We may disclose your information to law enforcement, governmental agencies, or authorized third-parties, in response to a valid and binding request (e.g., court order) or where disclosure is otherwise required by applicable law.

4) Change of Control – New Owners: We may share your information with another business entity, if we plan to merge with or be acquired by that business, or are involved in a transaction with similar financial effect. In such a situation we would make reasonable efforts to request that the new combined entity or other structure follow this Policy with respect to your personal information. If your personal information was intended to be used differently, we would ask the new entity to provide you with prior notice.

Because telmone.shop is global, the recipients above may be located outside the country in which you are located.

Information you Share Publicly

Website allows you to share information with others on a public basis. telmone.shop does not provide public profiles. If product reviews are enabled, your review text, rating, and chosen display name may be visible publicly. You can request removal by contacting shop@telmone.com. Reviews must not include sensitive personal data, hate speech, etc; we may remove content without notice that violates our terms.

We and our affiliates, third parties, and other partners use cookies and other identification technologies on our websites, email communications, advertisements, and other online services (collectively, the "Website") for a number of purposes, including: authenticating users, remembering user preferences and settings, determining the popularity of content, delivering and measuring the effectiveness of advertising campaigns, analyzing site traffic and trends, and generally understanding the online behaviors and interests of people who interact with our Website.

Cookies and Related Technologies Overview

As a registered member, you can review and change personal information at any time by accessing your account on the telmone.shop or contacting our support. Please be sure to update your personal information promptly if it changes or becomes inaccurate. We may retain some information from closed accounts so that we can comply with law, prevent fraud, assist with investigations, resolve disputes, analyze, or troubleshoot programs, enforce our Terms of Use, or take other actions permitted by law. Likewise, if your account or membership is terminated or suspended, we may maintain some information to prevent you from re-registering.
Providing data is optional/required. Some data is required to place an order (name, delivery address, payment status). If you do not provide required information, we cannot complete your purchase. Marketing subscription data is optional.
GDPR/EEA rights
Depending on your location, you may have rights to access, rectify, delete, restrict or object to processing, and data portability. Where processing is based on consent, you may withdraw consent at any time. We will notify the relevant supervisory authority of a personal data breach unless it is unlikely to result in a risk to individuals’ rights and freedoms. If the breach is likely to result in a high risk to individuals, we will also notify affected individuals without undue delay, as required by law. We respond within one month; for complex requests we may extend by up to two additional months and will inform you within the initial month.

You may lodge a complaint with your local supervisory authority. We encourage you to contact us first so we can try to resolve your concern quickly. If you are in Ukraine, you may contact the Ukrainian Parliament Commissioner for Human Rights (Ombudsman) regarding personal data protection. If you are in the EU/EEA, you may lodge a complaint with your local supervisory authority.

How do we respond to legal requests or prevent harm?

We access, preserve and share your information with regulators, law enforcement or others: In response to a legal request (like a search warrant, court order or subpoena) if we have a good faith belief that the law requires us to do so. This may include responding to legal requests from jurisdictions outside of the Ukraine when we have a good-faith belief that the response is required by law in that jurisdiction, affects users in that jurisdiction, and is consistent with internationally recognized standards.
When we have a good-faith belief it is necessary to: detect, prevent and address fraud, unauthorized use of the Website, violations of our terms or policies, or other harmful or illegal activity; to protect ourselves (including our rights, property or Products or Website), you or others, including as part of investigations or regulatory inquiries; or to prevent death or imminent bodily harm. For example, if relevant, we provide information to and receive information from third-party partners about the reliability of your account to prevent fraud, abuse and other harmful activity on and off our Services.
Information we receive about you (including financial transaction data related to purchases made with telmone.shop) can be accessed and preserved for an extended period when it is the subject of a legal request or obligation, governmental investigation, or investigations of possible violations of our terms or policies, or otherwise to prevent harm. We also retain information from accounts disabled for terms violations for at least a year to prevent repeat abuse or other term violations.

Security

We use technical and organizational measures designed to protect personal data (e.g., access controls, encryption in transit, least-privilege access). No method of transmission or storage is 100% secure.

Children

Our services are not directed to children under 16. We do not knowingly collect personal data from children. If you believe a child provided data, contact us to delete it.

Updates to this Policy

We may update this Privacy Policy from time to time. If we make significant changes, we will notify you of the changes here on telmone.shop or through others means, such as email if available. We will post updates here with a new ‘Last updated’ date. Where required by law, we will obtain your consent for material changes affecting consent-based processing (e.g., marketing or non-essential cookies). We encourage you to periodically review this policy for the latest information on our privacy practices.
